Privacy Policy
Last updated 24 August 2026
This policy explains what personal data MJB AI collects, why we collect it, and what rights you have over it. It is written to meet our obligations under the UK GDPR and the Data Protection Act 2018.
Who we are
MJB AI is a sole trader business based in Surrey, United Kingdom, providing AI assistant installations for local businesses. For the purposes of data protection law, MJB AI is the data controller for the information described below.
You can contact us at hello@mjbai.co.uk about anything in this policy, including to exercise any of the rights listed further down.
What we collect, and why
We only collect what we need to build the free demo you asked for and reply to you.
| Data | Why we need it | Legal basis |
|---|---|---|
| Business name | To train the demo assistant on your business | Legitimate interests |
| Website address | To read your public site and build the demo | Legitimate interests |
| Postcode | To confirm you are within our service area | Legitimate interests |
| Email address | To send you the demo and reply to your enquiry | Legitimate interests |
| Usage data (pages viewed, device type) | To understand which adverts bring genuine enquiries | Consent |
Where we rely on legitimate interests, that interest is responding to an enquiry you deliberately sent us. We think you would reasonably expect us to use your details for exactly that, and for nothing else.
We do not sell your data. We do not add you to a marketing list without asking. We do not share it with anyone except the processors listed below.
Who processes your data on our behalf
- Form processing and email delivery — our server-side enquiry endpoint receives the submission and uses Resend to deliver it to us by email and send a confirmation to the address entered in the form. We do not put email API credentials in the website.
- Website hosting — our site is served by a third-party hosting provider, which processes standard server logs including IP addresses.
- Meta (Facebook and Instagram) — the Meta pixel is currently disabled on this site. It must not be enabled until a consent mechanism is in place and this notice is updated to describe the final behaviour.
- Email — correspondence with you is stored in our email provider.
All of these are bound by their own data processing terms. Some may process data outside the UK; where that happens it is covered by UK adequacy regulations or standard contractual clauses.
Cookies and tracking
The Meta pixel and advertising cookies are disabled until you choose “Allow measurement” in the privacy choices prompt. No advertising measurement runs by default.
You can change this choice using the “Privacy choices” control in the site footer. You can also manage advertising choices through your Meta ad preferences. Blocking advertising measurement will not affect the enquiry form.
How long we keep it
- Enquiries that do not become customers — deleted within 12 months.
- Customers — kept for the duration of the engagement, then for 6 years to meet HMRC record-keeping requirements.
- Analytics and advertising data — retained according to Meta's own retention periods, typically up to 24 months.
Your rights
Under UK GDPR you have the right to:
- Ask what data we hold about you, and get a copy of it
- Have inaccurate data corrected
- Have your data deleted
- Restrict or object to how we use it
- Ask us to transfer it to another provider
- Withdraw consent at any time, where we relied on consent
Email hello@mjbai.co.uk and we will respond within 30 days. There is no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office, the UK's data protection regulator. We would rather you told us first so we can put it right.
Security
Our site is served over HTTPS. Enquiry data is transmitted encrypted and handled by our server-side form endpoint and email provider behind access controls. We keep the number of people who can see your data to the minimum — currently one.
Children
This service is for businesses. We do not knowingly collect data from anyone under 18.
Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top. Material changes affecting existing customers will be notified by email.
